Transportation Management System (TMS)

A Transportation Management System (TMS) helps retailers plan, execute, and track the physical movement of goods, from route optimization to freight cost management.

Definition

A Transportation Management System (TMS) is software that retailers use to optimize, coordinate, and manage their transportation and logistics processes. Its core purpose is making the movement of goods more efficient, cost-effective, and transparent, from planning a shipment's route to tracking it in transit.

Core functions of a TMS

  • Route planning and optimization — determining the most efficient routes based on distance, road conditions, traffic data, and delivery priorities
  • Freight cost management — supporting carrier negotiations, rate comparisons, and freight bill monitoring
  • Shipment tracking — real-time visibility into shipment status via integration with telematics and GPS
  • Inventory management — some TMS platforms include capabilities to monitor and optimize stock levels alongside transportation
  • Reporting and analytics — tracking performance metrics to identify inefficiencies and inform decisions
  • Integration with other systems — connecting to ERP or CRM platforms so transportation data flows into the rest of the business rather than sitting in a separate silo

TMS vs. OMS: What's the difference?

A TMS and an Order Management System (OMS) are often mentioned together but solve different problems. A TMS optimizes how goods physically move once they're in transit — routes, carriers, freight costs. An OMS operates earlier in the process: it decides which location should fulfill a given order in the first place, based on real-time inventory and delivery requirements, before the shipment ever reaches the transportation stage. In practice, the two typically work together: the OMS determines the fulfillment decision, and the TMS executes the resulting shipment as efficiently as possible.

Benefits of a TMS

Retailers using a TMS typically see improvements in transportation efficiency and cost, along with better visibility into shipment status for both internal teams and customers. That said, a TMS optimizes transportation execution. It doesn't solve upstream problems like inaccurate inventory or poor order routing decisions, which are typically the responsibility of an OMS rather than a TMS.
